Who it's for
Who Flow is for, and who it is not for.
Haimoo Flow is made for a coffee roastery whose customers are cafés, restaurants, offices and shops that order repeatedly. If your orders arrive by email and phone and the kilos for roast day are worked out by hand, Flow is made for you. Flow is currently available to companies registered in Finland. You need a Finnish business ID to sign up.
Flow fits when
Orders come in every week
The same customers order repeatedly, and the week has several delivery days. Flow's forecast of a customer's next order needs at least two orders on different days.
You roast to order
The kilos for roast day depend on what has been ordered. Flow works them out from delivery dates and deducts finished coffee in stock.
You pack yourself
Bags are counted, labels printed and shipping labels made at the roastery. Flow takes that to the phone and to Shipit.
Your team is small
The owner and members see the same queue. A member uses orders, roasting, packing and stock; purchase prices and prospects belong to the owner.
You deliver in Finland
Shipping labels are made through Shipit, and the prices, taxes and confirmations come from the daily work of a Finnish roastery. Flow also works in English and Swedish.
You want one price
One price regardless of how much you roast and how many users you have, with no commitment. Every feature is included.
Flow is not the right tool if
These are worth knowing before you subscribe. You can use other software alongside Flow, but Flow does not replace it.
You are looking for roast profiles
Flow does not store roast curves or read roaster temperatures. For that there is Artisan, the Aillio app or Cropster.
You need invoicing or accounting
Flow does not create invoices. You can get sales as a CSV file for your accounting, but invoices are made elsewhere.
You mainly sell to consumers online
Flow is for business orders. A consumer online shop and subscriptions are handled separately.
You get a few orders a month
Flow is worthwhile when orders come in weekly. With fewer, email and a spreadsheet are enough.
You deliver only in your own van
Flow still works then with pickup orders, but Shipit shipping labels are of no use.
You want to customise the workflow
Flow's stages are fixed: new, confirmed, roast, packing, delivery. You cannot add your own stages or fields.
What changes in the first week
You can set Flow up in a single day, and old orders do not need to be moved.
Day 1: products and customers
Add coffees, bag sizes and prices, as well as customers and their contact persons. Every company starts with an empty catalogue.
Day 1: email and Shipit
Give Inbox the roastery mailbox and Shipit your company's own account. Canva label templates are attached to products.
Week 1: orders into Flow
New orders are created in Flow from messages or by hand. Roast needs starts showing kilos from the very first confirmed order.
Week 2: reports start to tell you something
Sales and kilos appear in Reports. The next order estimate and Worth getting in touch need a few orders from a customer.
Questions about fit
All questionsWho can buy Flow?
Flow is currently available to companies registered in Finland. You need a Finnish business ID to sign up. At signup, the trade register must show an active company with a Finnish address and a website domain that matches your email domain.
Does Flow suit a one-person roastery?
Yes. One person uses the same views as a team, and the price is the same. The biggest benefit is not having to work out roast needs by hand in the evening.
What if we only roast to order?
Then Flow suits you especially well: roast needs are calculated directly from confirmed orders, and you can leave finished coffee stock unused altogether.
Can Flow be used alongside Cropster or Artisan?
Yes. Flow neither reads nor requires roaster data. Roast profiles and curves stay in the roaster's own software, and Flow tells you what to roast, how much, and who it goes to.
