Where your data is and who sees it.
Haimoo Flow's data is on a server in Helsinki. Each company's data is separated at row level in the database, the database is backed up every night, and card details are never entered into Flow. This page explains how it works.

Location
Flow runs on a server in Helsinki, in Hetzner's data centre.
Backups
The database is backed up every night. The copies are also kept encrypted on another server.
Separation of companies
Each company's data is separated at row level in the database, and every company starts with an empty catalogue.
Users and login
Roles
Owner and member. Inbox, purchase prices, suppliers and prospects are visible only to the owner, and only the owner manages billing.
Invitations
The invitation link is single-use and valid for seven days. A person can belong to one organisation.
Removing access
When a member is removed, their access and active sessions end immediately.
Passwords
User passwords are stored only as hashes, and the mailbox password in encrypted form. Changing a password ends other sessions.
Entry log
Stock entries cannot be edited or deleted, and purchase lot corrections stay in the history with who made them.
Confirmations
A confirmation cannot be sent to anything other than the customer's own address, and the history shows every send.
Outside services
Flow uses outside services only for these. The full list is in the terms.
Stripe
Flow's own monthly fee. Card details are given only in Stripe's payment view.
Shipit
Shipping labels on your company's own account, if you take them into use. The shipment's details go to Shipit.
Inbox reads the mailbox you provide, and sent copies of prospect mail are saved there. To your customers Flow sends only the messages you send yourself and, if you wish, an automatic acknowledgement of an incoming message. Outgoing mail goes through Domainhotelli's server, Haimoo's mail relay.

Who sees our company's data?
Your company's invited users. Each company's data is separated at row level in the database, and owner data such as purchase prices and prospects is not shown to members. Haimoo's administrators see users, subscription status and logs.
Does Flow store card details?
No. Payment is made in Stripe's payment view, and card details are not entered into Flow.
Does Flow use AI services?
The next order estimate is calculated in your browser from the order history. It does not use an AI service or send data to an outside server.
