What Flow is
What is Haimoo Flow?
Haimoo Flow is browser-based order management software for coffee roasteries. It gathers business customers' orders into one queue, works out the day's roast needs by coffee, guides packing on the phone, makes shipping labels through Shipit and shows sales as reports. Flow is made by Haimoo Company Oy in Vihti, and Haimoo Roastery uses it for its own orders.
Who is Flow for?
A small or medium-sized roastery with repeat business customers, where orders arrive by email, by phone and over the counter. A typical user roasts every week and delivers to cafés, restaurants, offices and shops. See the page Who Flow is for for details.
What does Flow not do?
Flow does not store roast profiles or read roaster temperature curves. It does not create invoices or do accounting, and it is not a consumer online shop. Subscriptions for consumers are not part of Flow.
Is Flow like Cropster or RoasterTools?
Partly. Cropster and similar international services focus on roast profiles, quality control and broad operations management, and their price often rises with the volume roasted. Flow handles an order's journey through the roastery from order to delivery, works in Finnish and costs the same every month. Flow takes no position on roast profiles: the roaster's own software still does that.
Which languages does Flow work in?
Finnish, English and Swedish. You can change the language in Settings, and message templates can be written in Finnish and English.
Getting started
Who can buy Flow?
Flow is currently available to companies registered in Finland. You need a Finnish business ID to sign up. At signup, the trade register must show an active company with a Finnish address and a website domain that matches your email domain.
Does Flow need installing?
No. Flow works in the browser on a computer, tablet and phone.
How do I get started?
Give your company's name and email address, open the link you receive, enter your Finnish business ID, create a login, verify your email address and pay the first month. After that you add your own products and customers. Every company starts with an empty catalogue.
Can I import my old data?
A prospect list can be imported from a CSV file, at most 500 rows at a time, and Flow skips rows that are already in Flow. Customers and products are added using forms. If you have a lot to move, ask us at hello@haimoo.fi.
How do I invite employees?
The owner invites a person by email address in Settings and chooses a role: member or owner. The invitation link is single-use and valid for seven days. A member uses orders, roasting, packing and stock; an owner also sees Inbox, purchase prices, purchase lots and prospects and manages billing.
What happens if I remove an employee?
Their access and all their active sessions end immediately. They can only return with a new invitation.
Orders and roasting
Does Flow read orders from email by itself?
Flow fetches messages from one mailbox of your company when you open Inbox or press the fetch button. Order messages from known customers appear in Inbox, and you create the order from the message. So every order has been checked before it goes to roasting.
How does Flow work out the roast day?
An order is roasted on the day before delivery. Today's roast list has the orders due for delivery tomorrow, as well as late orders and orders with no delivery date.
Does Flow deduct finished coffee from roast needs?
Yes, when the finished coffee is an item in Stock that is linked to the product as a finished product and tracked in kilos or grams. Stock is used for the orders with the earliest delivery date first.
How is the green coffee need calculated?
Roast loss is entered in Settings as a percentage. Flow divides the roasted need by (1 − loss): 14.5 kg roasted is 17.4 kg green at 16.5% loss. The batch size splits the coffee into batches.
Can an order be delivered in parts?
Yes. The part sent is recorded as its own package, and the rest stays waiting in the packing queue as its own batch.
Does Flow suit anything other than coffee?
Flow is made for roasteries, but products can have other units too: pieces, litres, millilitres and metres. Teas, syrups and accessories go through the same orders and are not counted in roast needs.
Packing, labels and delivery
Can Flow be used on a phone?
Yes. The packing queue is made specifically for the phone, and the other views adapt to the size of a phone. The phone's bottom menu has Dashboard, Orders, Roast, Packing and Customers.
Do I need a Shipit account?
For shipping labels, yes: Flow uses your company's own Shipit account, and Shipit bills transport under your own contract. The rest of Flow works without it, and an order can be marked for pickup from the roastery.
Where do the labels come from?
Front and back labels print from templates you made in Canva. The roast date is already filled in on the print, and you can change it. The package size comes from the order line. The templates are your company's own, so the look is yours.
Does Flow create a packing list?
Yes. An A4 packing list prints from the order, for the box or the recipient.
Stock and reports
What is tracked in Stock?
Your own items in your own groups: for example green coffee, roasted coffee and bags. The balance is the sum of the entries, and every entry stays in the log with its reason and who made it. An entry cannot be changed afterwards; a mistake is corrected with a new entry.
What is saved on a purchase lot?
Supplier, quantity, purchase and receipt dates, price, currency, freight allocated to the lot and references. Flow calculates the unit cost including freight: for example, 60 kg at €7.10 with €45 freight comes to €7.85/kg. Corrections stay in the history.
How is green coffee cover calculated?
In weeks, from the use of the last 8 weeks. A supplier's lead time is calculated from the latest purchase lots, from order date to arrival. To order now lists items that are below minimum or will last less than four weeks.
Does Flow create invoices?
No. Reports show sales excluding VAT, and monthly sales are available as a CSV file for your accounting.
How is the next order forecast?
The latest order date plus the customer's usual ordering rhythm, which is the median of the customer's own intervals between orders. The suggested products are those that appeared in at least half of the last three orders. The estimate needs at least two orders on different days, and it is calculated in the browser without any outside service.
Price and billing
How much does Flow cost?
155 euros per month including 25.5% VAT, or 123.51 euros excluding VAT. The price covers every feature and all of your company's users, and it does not depend on how much you roast.
Is there a trial period?
No. You can, however, cancel the subscription at any time, and use continues until the end of the paid month.
How do I cancel the subscription?
Yourself, under Subscription & billing in Flow. Use continues until the end of the paid month, and the end date is shown in Flow.
How is payment made?
By card in Stripe's payment view. Card details are not entered into Flow. The payment method can be changed in Stripe's customer portal.
Data and security
Who sees my data?
Your company's invited users. Each company's data is separated at row level in the database, and data that belongs to the owner, such as purchase prices and prospects, is not shown to members. Haimoo's administrators see users, subscription status and logs.
Where is the data?
On a server in Helsinki, in Hetzner's data centre. The database is backed up every night. Read more on the page Data and security.
Does the forecast use AI services?
No. The estimate of a customer's next order is calculated in your browser from the order history, and no data is sent to an AI service or any other outside service.
Does Flow send marketing to my customers?
No. To your customers Flow sends only the messages you send yourself, such as order and delivery confirmations, and, if you wish, an automatic acknowledgement of an incoming message. You can mark a prospect as No marketing, and Flow then sends it no messages.
