Step 5 / 5

See how sales are really going.

Haimoo Flow's reports show a coffee roastery's sales excluding VAT, kilos sold and a forecast for the current month. Flow also tells you which customers have been quiet for longer than usual and whether the green coffee will last until the next delivery.

Sales

All euros exclude VAT, and cancelled orders are not counted. The period is 3, 6, 12 or 24 months.

Key figures

Sales, kilos sold, sales per month, orders, active customers and average order. Each is compared with the previous period of equal length, and the (i) button explains how the figure is calculated.

By month

Sales in euros or kilos. The current month's dashed line shows where the month will end up at the current pace. A bar opens the month's largest customers.

Forecast

The current month at the current pace, and next month as the average of the latest full months. A rough estimate that does not know about seasonal variation.

Worth getting in touch

Customers whose break has stretched to 1.5 times their own ordering rhythm, and customers whose order is expected this week. A row opens the customer.

Customers and coffees

Largest customers in euros and best-selling coffees in kilos, each as a share of the total. The rest are gathered on one line.

Export to Excel

Monthly sales as a CSV file for your accounting or your own spreadsheet.

Stock

For the owner. The figures are calculated from stock entries and from purchase lots with a supplier, price and freight saved.

Stock value

Balance times the average price of the item's purchase lots with freight. Items without a priced purchase lot are not included, and the card tells you how many there are.

To order now

Items whose balance is below minimum or will last less than four weeks at the use of the last 8 weeks. Grouped by supplier, and the suggestion is minimum + 6 weeks of use − balance.

Green coffee cover

In weeks. The black mark is the supplier's own lead time, calculated from the latest purchase lots from order date to arrival.

Green coffee purchase price

Each green coffee's latest purchase price with freight compared with the previous lot.

Shrink and corrections

Entries whose reason is waste, stock count or correction, in euros at purchase prices.

Idle stock

Items that have a balance but no movement for over 60 days.

Questions about reports

All questions
Do the report euros include VAT?

No. All euros exclude VAT, and cancelled orders are not counted. The period is 3, 6, 12 or 24 months, and each key figure is compared with the previous period of equal length.

What does Worth getting in touch mean?

The list has customers whose break has stretched to 1.5 times their own ordering rhythm, as well as customers whose order is expected this week. The rhythm is the median of the customer's own intervals between orders, so one long break does not distort it.

How is green coffee cover calculated?

In weeks, from the use of the last 8 weeks. A supplier's lead time is the average of the latest purchase lots from order date to arrival, and it appears as a mark on the cover chart. To order now lists items that are below minimum or will last less than four weeks, grouped by supplier.

Can I get the figures into Excel?

Yes. Export to Excel downloads monthly sales as a CSV file that opens in Excel and is suitable for your accountant.
