Step 4 / 5

Balances, suppliers and purchase lots in one place.

Haimoo Flow's stock is the roastery's own items in their own groups: green coffee, roasted coffee, bags and labels. The balance is the sum of the recorded changes, and each purchase lot stores the supplier, dates, price and freight.

Stock items by group: balance, minimum, supplier, Record change, Log and Purchases.

Views from Flow. Names and figures are examples.

How stock works

There are no ready-made groups. You build the structure your roastery works with.

  1. Groups and items

The owner creates the groups, for example Green coffee, Roasted coffee and Packaging. An item's unit is kg, g, l, ml, pcs or m.

  2. Link to products

A finished product is deducted from roast needs when tracked in kilos or grams. A material shows with its balance on the coffee's card. Bags can have no link.

  3. Change and log

Any member can record a change and choose a reason: Roasted, Packed, Arrived, Waste, Stock count or Correction. The log shows the item's 200 most recent changes and who recorded them.

  4. Minimum and warning

When the balance is below the minimum, the row reads Below minimum, and the item rises to the Dashboard's Needs attention section.

Suppliers and purchase lots

For the owner. A purchase lot is a purchase already received, and its details stay in the history.

What is saved on a lot

Supplier, quantity, purchase and receipt dates, the supplier's lot reference, invoice or order reference, price, currency, freight and notes.

Unit cost with freight

Flow calculates the lot's price with freight. For example, 60 kg at €7.10 with €45 freight comes to €7.85/kg. Prices exclude VAT.

Receipt adds to the balance

An arrived lot adds its quantity to the balance at the same time. An old purchase can be filled in without changing the balance.

Corrections stay visible

A correction needs a reason, and Correction history shows the earlier and new details, the time and who made it.

Voiding

A wrongly recorded lot is voided with a reason. The lot and its history stay visible, but it no longer counts in the cost totals.

Supplier details

Contact person, email, phone and notes. An archived supplier's past purchases are retained.

Questions about stock

All questions
Does Flow deduct stock automatically?

No. The balance is the sum of the recorded changes: use is recorded by hand, and receiving a purchase lot adds its quantity to the balance. Checking off roasting or packing does not change stock.

Can an entry be changed afterwards?

No. A recorded change cannot be edited or deleted. A wrong entry is corrected with a new change, for example with the reason Correction. The log shows the quantity, reason, time and who made it.

Who sees purchase prices?

Only the owner. A member can record stock changes but does not see purchase prices or suppliers.

Does Flow calculate lot consumption on a FIFO basis?

No. Use reduces an item's balance without being allocated to a lot. Stock value in reports is calculated with the average price of purchase lots with freight.
